Procore Integration with Catina

Summary 

AIA Contract Documents is excited to announce the integration with Procore through an optional plugin that can be accessed and installed from the Procore Marketplace. This integration delivers a convenient view of customer's existing Catina document and projects, as well as the ability to create new documents and projects without leaving the Procore platform. This article details the functionality of the integration, step-by-step guide, and common FAQs. 

 

Basic Functionality

Once installed, within the Procore platform you can... 

  1. Login to your Catina account directly in Procore 
  2. Link a related project in Catina to their currently viewed Procore project 
  3. Select and view existing AIA Contract Documents within a linked project 
  4. Open existing AIA Contract Documents to edit in Catina
  5. Create a new Catina project to link with your currently viewed Procore project 
    • Requires input of Project Name 
    • Optionally, input Project Type (drop down), Contract Cost Structure, Development Type, description of the project, address, project value, their role (drop down), Architect Number, Contract Number, and Owner Number. 
  6. Add new documents to a linked Catina project  
    • Requires input of Document Name 
    • Optionally, input project team roles (dropdowns populate from Catina project) 

From the Procore platform you cannot (yet)… 

  1. Edit AIA Documents directly in Procore 
  2. Prefill new AIA Document fields with any saved Procore project data 

 

Step-by-Step Guide

Getting the Plug-in

  1. Visit the Procore Marketplace
  2. Select the new ACD Catina plug-in and install it. 

Using the Plug-in

1. The Catina side panel will prompt you to begin – click Get Started.

2. There are two steps to connect your Catina project within the Procore platform.

3. First, click Login to Catina via pop-up and enter your credentials. You will see a successful login status once complete in the plug-in.

4. Click “Connect Project”.

      • This step should not require credentials again if you are already logged into Procore. However, occasionally it may ask you to login to Procore again for a secure connection in the same panel.

      • Once logged in, you will see a list of Catina projects available to connect to your currently viewed project in Procore.

5. If you have an existing project saved in Catina, you can connect it to your currently viewed project in Procore. An actively connected project will show the option to “Disconnect” and hovering over a new project will display “Connect” if you want to switch the connected project. Only one Catina project can be connected at a time to a single Procore project.

6. Once linked, you can view all existing AIA documents in that Catina project.

7. You can also create a new AIA Contract Document within the project by clicking “New Document” at the top.

      • After selecting your template, click “Configure” and add a Document Name. You can optionally add a project team in the panel as well. Dropdowns will populate based on project data already saved in Catina.

8. Clicking “Open Document” on any document saved within a project will launch Catina in a separate tab for editing and finalization. You will see the Document name and project team details already populated in the document.

9. If you do not yet have a project set up in Catina, you can click “New Project” to create one from scratch that will automatically link to your currently viewed Procore project. You can then add documents once the two projects are linked.

    • A new project requires a Project Name
    • Optionally, you can add a Project Type (drop down), Contract Cost Structure, Development Type, a description of the project, the address, project value, your role (drop down), Architect Number, Contract Number, and Owner Number.
    • Once created, you will see the full list of projects from Catina and can “Connect” your new project.
    • Important: None of these fields currently prefill with data from the Procore project.

What is Procore?  

Procore is a cloud-based construction management software designed to streamline the process of managing construction projects. The platform provides tools for project management, document control, budget tracking, scheduling, and safety compliance. It's widely used by construction professionals like general contractors, project managers, and subcontractors to improve collaboration, reduce inefficiencies, and ensure timely project delivery.  

 

What does this integration mean? How are AIA Contract Documents’ customers impacted by this integration? 

Procore is a widely used construction management software that many contractors who require AIA Contract Documents are using to manage their projects. Having Catina directly integrated with Procore via plugin allows you to quickly access and open the AIA Contracts related to their current project in Procore.

Who is this integration available for?

How does this integration work?  

When you are logged into Procore, you will need the plugin installed to access Catina and their AIA Contract Documents. Once the Catina plugin has been installed to yourProcore account, you will see a side panel on select Procore pages with a Catina login to connect and view related Catina project (and access the AIA documents within it.)  

 

When an AIA document is created in Procore will you be able to see this in Catina? And if a document is created in Catina, will it be available in Procore? 

Yes. When a Catina project is connected to a Procore project via the plugin, any AIA document that is created and saved within that project folder will be visible in both systems. When clicked to open, the document will open in a new tab on Catina for editing. 

 

Can a Procore user edit all AIA document fields within the Procore system? 

No. A Procore user can create a new document with a title and optional team contacts, but all other AIA Contract Document edits must be made within Catina. 

 

Can a Procore user finalize an AIA document in Procore? 

No. Finalization for any AIA Contract Document must be done in Catina.
