Creating a Document in Catina

Summary

Catina allows flexibility with editing your document, with the choice to edit within the Online Editor of Catina or offline within Microsoft Word. Check out the quick steps below to create your document within Catina either from the projects tab or documents tab. A project must be created first before you can add a document.


Selecting a Document

There are two ways to select a document within Catina- while working within a project or directly from the Documents Tab. 

Within a project:

  1. Select a project or create a new project from the projects tab
  2. Once in the project hub, click +New Document to open up the document selection tool. Here you can find all the standard AIA Templates along with any Custom Templates you have created within Catina or Migrated from ACD5.
  3. If you would like to download a template to edit offline, you can click the Download button next to the template’s name. To learn more about editing offline, please see the Offline Editing section below.
  4. To open the template within the Online Editor, click the red Configure option next to the template’s name. To learn more about the editing options within Catina, please see the Online Editing section below.

From the Documents Tab:

  1. Click the documents tab
  2. Select +New Document in the top right corner to open up the document selection tool. Here you can find all the standard AIA Templates along with any Custom Templates you have created within Catina or Migrated from ACD5.
  3. If you would like to download a template to edit offline, you can click the Download button next to the template’s name. To learn more about editing offline, please see the Offline Editing section below.
  4. To open the template within the Online Editor, click the red Configure option next to the template’s name. To learn more about the editing options within Catina, please see the Online Editing section below.

Online Editing

Catina offers a robust online editor that allows you to fully customize your document while having full control of any changes or version history.

  1. To edit a document within the online editor, select your template from the template selection tool and click Configure.
  2. You will be prompted to name your document and attach any organizations to this document. You can choose to leave this blank, select an existing organization, or create a new organization.
  3. Once you have created or selected an organization, you can select an existing contact or create a new contact. 
  4. When ready, click Create Document to open up the online editor.
  5. On the left you will see your Document Status Bar to monitor where you are in the document lifecycle.
  6. On the right you will see your Track Changes Bar, where all additions and deletions will be captured while editing within Catina.
  7. At any point you can switch to offline editing by clicking the Offline Editing button on your document toolbar.

Offline Editing

If you prefer, you have the ability within Catina to download a Microsoft Word version of your document, allowing you to edit or share with other parties as necessary. To take your document offline you can either:

  1. Click the Download button next to the template’s name on the document selection tool.

or

  1. Click the Offline Editing button on your document toolbar within the online editor.
  2. From here you will edit your document within Microsoft Word, collaborate or email with other parties.

FAQ's

1. Can I switch between online and offline editing while working on a document?
Yes, you can seamlessly switch between online and offline editing. To switch to offline editing, click the Offline Editing button on your document toolbar. When you're ready to return, upload the edited document back into Catina to continue using the Online Editor.

2. What happens to my document’s changes if I edit offline and then upload it back to Catina?
When you upload your edited document back to Catina, any changes made offline will be incorporated. You can continue tracking additions or deletions in the Online Editor’s Track Changes Bar after uploading.

3. How do I create a custom template or migrate templates from ACD5 into Catina?
Custom templates can be created or migrated by accessing the +New Document tool from either the Projects Tab or Documents Tab. Once there, select the option to upload your template or migrate it from ACD5.

4. Do I need to create a project before adding a document?
Yes, a project must be created first before you can add a document. Catina is project-centric, meaning all documents are stored within a project.
