User Roles on a Multi-Seat Account with Catina

Summary

This article walks through the user roles and functionality with Catina. It also dives into the Payer designation update that increases billing flexibility.

User Roles within Catina:

With Catina, there are four different types of user roles

  • Billing Admin- Required on every account. This person has the same privileges as an admin, but is also responsible for purchasing additional seats and renewals.
  • Admin- Is a Catina user and has capabilities to manage existing users, including modifying user settings and permissions.
  • Non-user Admin- Can monitor and manage the users on the subscription and invite users, without occupying a seat on the license.
  • User- The standard user will have access to Catina and be able to see their subscription information. However, they will not be able to make any changes to the subscription or users.

If you are an admin on the account, you can change the roles of your users at any time.

Payer Designation Feature

A new feature is now available to better support your payment workflows. Admins can delegate billing management by designating “Payer” from the Manage Users tab within their Catina Settings, providing[CJ1]  greater flexibility in subscription management.

By default, your Billing Admin is assigned as the primary Payer. If the default setup works, no further action is needed. Admins may assign additional Payers in Manage Users. Inviting a new user to serve as a Payer will not affect your license count or expand this user's account level permissions. Please Note: only Billing Admins, Admins, and Non-user Admins can be designated as Payers.

What Can a Payer Do? (maybe either this OR The chart below unless you think we need both)

  • View subscriptions in Subscription Management
  • Manage Auto Pay and payment schedules
  • Add, edit, and remove credit cards
  • Submit payments and access invoices

Key Benefits

  • Simplified delegation of billing responsibilities without full admin access
  • Reduced administrative overhead for account holders
  • Clear separation between subscription-specific payment management and personal account settings
  • Enhanced flexibility for organizations managing multiple billing contacts

No, the payer is a separate designation that does not affect seat count.  The role only provides billing management permissions and does not require an additional Catina license.

What if I want to have more than two payers?

You can have more than one payer on your account, but they must be either an Admin or Non-User Admin. Standard users will not be allowed to be Payers at this time.

Can a Payer manage users or change account roles?

No. The Payer role only manages billing functions such as payments, invoices, and payment methods. It does not provide user management or administrative permissions.

Who can be assigned as a Payer?

Only users who are Admins or Non-User Admins can be designated as a Payer. Standard Users cannot currently be assigned as a Payer.

What happens if the Billing Admin leaves the organization?

Another Admin on the account should be assigned as the new Billing Admin to ensure the subscription and billing responsibilities continue without interruption.
