Synopsis.
AIA Document B305™–2021 is a standard form where an architect can enter information regarding its professional qualifications. Owners can then review the information provided in B305-2021 to help in selecting an architect for a project. An owner may use AIA Document B305–2021 as part of the selection and hiring process or as a final check on the architect’s credentials before or after a contract has been signed. B305-2021 is intended to be an initial, and somewhat general, conveyance of information from an architect to an owner. Under some circumstances, an owner may request the architect to provide a proposal with more detailed information as a step between sharing its qualifications and entering a contract. B305-2021 includes prompts where an architect can enter information about its business structure, key personnel, design capabilities, honors and awards, project personnel and consultants, BIM capabilities, sustainability credentials, firm history, number of employees, professional licenses, and much more.

Completing B305–2021.
General
B305-2021 is not a contract and does not need to be signed by the owner. B305-2021 may be completed at several different stages. In many instances, an owner will request that an architect, or multiple architects, complete B305-2021 as part of an initial vetting or selection process, prior to the execution of an owner/architect agreement. However, in some cases, an owner will request an architect to complete B305-2021 immediately after executing an owner/architect agreement to document more specific information about the architect it has entered a contract with.
Article 1 Firm Information. Provide information pertaining to the architecture firm in this Article. If any of the sections in Article 1 do not apply to the architect, or to the owner’s anticipated project, indicate such in the prompt or delete the section entirely. Section 1.14 asks the architect to confirm that it holds professional liability insurance. In many instances, the owner will request more detailed information about insurance held by the architect in the contract negotiation process or through a request for proposals.
Article 2 Capabilities. Provide information pertaining to the architect’s capabilities in this Article. If any of the sections in Article 2 do not apply to the architect, or to the owner’s anticipated project, indicate such in the prompt or delete the section entirely.
Article 3 Project Design Team. If B305-2021 is being requested in anticipation of a particular project, the architect should insert information pertaining to services that will be provided using its own employees in Section 3.1 and information pertaining to services that will be provided using consultants in Section 3.2.
Article 4 Project Personnel. If B305-2021 is being requested in anticipation of a particular project, the architect should insert relevant information requested in this section. In section 4.2., the architect should provide information about key personnel from the architect’s office who will be meaningfully involved with the project.
Article 5 References. The architect should provide professional references in the prompts in this article from 3 previous clients and 3 contractors with whom the architect has worked in the past.
Article 6 Representative Projects. In the prompts provided in this article, describe five projects that are representative of the architect’s work. The architect should use discretion to select projects that are relevant to the potential engagement. For example, if the owner is requesting B305-2021 in anticipation of a particular project, the architect would likely provide information about projects that are similar in nature.
Article 7 Attached Documents and Additional Information. In the space provided, reference any documents that are attached to the B305-2021. This could include a marketing brochure prepared by the architect or photographs of projects that are representative of the architect’s work. The architect can also use this space to insert information about additional qualifications that were not mentioned in earlier articles.
Architect’s Representation. B305-2021 should be signed by an individual who is authorized to represent the architecture firm. The architect’s signature is a representation that, to the best of the architect’s knowledge, the information provided in the Architect’s Qualification Statement is true and accurate as of the date the document is signed.
Notes.
Modifications. Particularly with respect to professional or contractor licensing laws, building codes, taxes, monetary and interest charges, arbitration, indemnification, format and font size, AIA Contract Documents may require modification to comply with state or local laws.
