Instructions: A751™–2019, Invitation and Instructions to Vendors for Quotations for Furniture, Furnishings, and Equipment (FF&E)

 

Synopsis. 

AIA Document A751-2019 should be used in situations where an Owner intends to solicit competitive Quotations from Vendors for furniture, furnishings, and equipment (FF&E) for a Project. Coordinated with AIA Document A151™-2019, Standard Form of Agreement between Owner and Vendor for Furniture, Furnishings, and Equipment (FF&E), A751 provides instructions for a Prospective Vendor to follow when preparing and submitting a Quotation. A751 allows the Owner to specify (1) the Quotation Documents upon which a Prospective Vendor will base its Quotation, (2) the manner in which a Prospective Vendor is required to submit a Quotation, and (3) the Proposed Contract Documents that will form the agreement between the Prospective Vendor and Owner. Using A751–2019.

Invitation for Quotation

Project. The Project should be described in sufficient detail to identify (1) the official name or title of the facility; (2) the location of the site; and (3) a description of the Project, including the proposed building usage, size, and capacity or scope.

Owner. The Owner should be identified using its full address and legal name, as well as a designation of its legal status (sole proprietorship, partnership, joint venture, unincorporated association, limited partnership or corporation [general, limited liability, close or professional], etc.). Other information may be added, such as telephone numbers and electronic addresses.

Architect. The Architect should be identified using its full address and legal name, as well as a designation of its legal status (sole proprietorship, partnership, joint venture, unincorporated association, limited partnership or corporation [general, limited liability, close or professional], etc.). Other information may be added, such as telephone numbers and electronic addresses.

Issuing Party and Contact Information. The party issuing the Invitation and Instructions to Vendors for Quotations for Furniture, Furnishings, and Equipment (FF&E) should be identified as should the name and contact information for the person responsible for addressing inquiries about the solicitation.

Quotation Due Date. Insert the time, day, month, and year on which Quotations are due.

Quotation Submission Method. Indicate how Prospective Vendors should submit their Quotations, such as by website, host site/platform, address for delivery of a paper copy, or other method.

Article 3 – Quotation Documents

§ 3.1.1 Revised language acknowledges that Quotation Documents may be issued in electronic form or paper copy. Specify the form in which the Quotation Documents are available.

§ 3.2.2 Specify the form in which Prospective Vendors are to submit requests for clarification and interpretation.

§ 3.3.1 Select whether the Prospective Vendor may propose substitutions or whether proposals for substitutions are not allowed.

§ 3.4.1 Specify the form in which Addenda will be transmitted to Prospective Vendors.

Article 7 – Enumeration of the Proposed Contract Documents

A detailed enumeration of all Proposed Contract Documents must be made in this article. List additional documents in Section 7.1.6 that will form part of the Proposed Contract Documents.

 

Important.

Modifications. Particularly with respect to professional or contractor licensing laws, building codes, taxes, monetary and interest charges, arbitration, indemnification, format and font size, AIA Contract Documents may require modification to comply with state or local laws.
